Set up a Profile and Business (DigiTax UAE)

Setting up a profile and a business on DigiTax Dashboard is the first step of using DigiTax's suite of products, including DigiTax API. In this guide, you learn how to create a business for the UAE (United Arab Emirates) e-invoicing

Introduction

First and foremost, it's important to understand the data heirachy in DigiTax before you create a profile or business.

In DigiTax, we start by creating a profile. Businesses are contained within profiles.

This is the simple data hierarchy in DigiTax:

  • Profiles represent logical grouping of businesses.

  • Businesses represent the entities that are recorded in the relevant tax authority.

DigiTax profile

A profile in DigiTax is a logical grouping of businesses. You need to have at least one profile before creating a business.

A business in DigiTax is an entity that matches an individual or business with a tax identification number as assigned by the relevant tax authority.

Start by signing in to DigiTax

Once signed in, you are redirected to the DigiTax Dashboard homepage.

Expect an empty dashboard, your very first time

Unless, someone already shared access to their profile and business(es), with your account. In this case, you should have at least one profile.

Add Profile

Click "Add Profile"

Fill in your profile details:

  1. Click the "Profile name" field and input your preferred profile's name.
    ​In this example, I type "UAE Profile"

  2. Click "Select Country" and select your preferred country from the drop-down list.
    ​In this example, I select "United Arab Emirates"

  3. Select "Type of profile". This is for the benefit of filtering profiles later on when you have numerous ones.

    In this example, I leave "Business" as the type

Click "Save profile" to complete this step of creating a profile.

Success!

Notice the toast message at the top right confirming that your profile is created successfully.

Expect a toast message, a dismissible card at the top right of the page, after every complete action.

The toast message informs you whether it's a success or an error occurred. In the case of an error, a descriptive error message will show.

In the rare cases of ambiguity or lack of clarity reach out to our support team.

Your profile(s) will be the first thing you see whenever you log in.

Edit Profile

You can edit the name of your Profile by clicking the ... on the Profile card then Click Edit profile.

You can update the Profile name and Type of profile.

Add Business

Click on the relevant profile card.

In this example, I click on "UAE Profile" (my recently created profile).

Remember that a profile is a logical grouping of businesses; hence, you're selecting the profile that will house the business you intend on creating.

This is your empty Profile page (with no business)

Click "Add Business"

Fill in your business details:

  1. Click the "Enter TRN No." field and type in your TRN (Tax Registration Number). TRN is the UAE FTA's (Federal Tax Authority) choice name equivalent of TIN (Tax Identification Number) or TPIN (Tax Payer Identification Number)

    Note: This field has validation. The TRN should start with digit "1", end with digits "03", and contain 15 digits total.

  2. Click the "Enter display name" field and type in your business display name
    ​In this example, I've typed in "Simple Associates"

  3. Specify the type of business - Test is selected by default

    1. Live - will be tied to the tax authority/regulator. Do not select this for testing purposes.

    2. Test - used for testing as a sandbox business. Select this if you wish to have a round of tests before activating your business with the tax authority/regulator

You can have more than one business under a profile. We suggest that if you're new to DigiTax you create two businesses:

  • A Test one, to gain understanding of DigiTax dashboard by creating items, invoices, etc

  • Another, a Live one, that will be tied to your entity with the tax authority/regulator.

    To cross this bridge of activation, commercial conversations need to take place. Eventually, a Live business will sync with the tax authority/regulator system.

Click "Add business".

Success!

Note: You receive an email on every business creation with next steps. The steps are critical for Live businesses. If you've created a Test business, you can proceed below.

If you'd like your profile to contain several businesses, you can repeatedly click "Add Business" button, or "Add business" card; to add them.

Business page

Once you've successfully created a business, click on it to view the business page. From here you can start transacting.
